Description

The Process & Systems Specialist serves as a technical specialist and administrator for the Scooter’s Coffee Smartsheet ecosystem. This role is responsible for keeping Smartsheet solutions and other development tools running effectively and continuously improving them to support new store projects from site selection to store opening.

The Process & Systems Specialist reports to the Enterprise Project Manager and partners closely with the Real Estate, Pre-Development, Construction, and Operations teams to ensure data integrity, streamline workflows, improve visibility, automate processes, and deliver meaningful reporting across all development processes. This position plays a critical role in driving standardization, and data-driven decision-making through advanced use of the Smartsheet platform, as well as other software systems.


Essential Duties & Responsibilities

  • Utilize and administer advanced Smartsheet applications, including Control Center, Data Shuttle, Dynamic View, and DataMesh to enhance business processes and scalability.
  • Maintain and optimize Smartsheet sheets, formulas, reports, dashboards, forms, workflows, workspaces, and automation tools supporting new store development projects.
  • Serve as the administrator and technical specialist for all Development-related software solutions. Primary focus is Smartsheets, FRM, SharePoint, and PowerBi.
  • Maintain and continuously improve development process documentation, templates, governance standards, and best practices within the Smartsheet and comparable software systems environments.
  • Manage user access, permissions, data integrity, and platform governance to ensure a secure and reliable system.
  • Coordinate project milestone reporting and communicate key dates, deliverables, and development status to internal teams, suppliers, consultants, franchisees, and external partners.
  • Partner with IT and business stakeholders to support system integrations and data management initiatives.
  • Stay current on emerging software capabilities and recommend innovative solutions that support business objectives.
  • Travel up to 20%.

Qualifications:

  • Demonstrated and progressive expertise in Smartsheet and other software systems required.
  • Advanced expertise in the Smartsheet platform, including solution design, administration, reporting, dashboards, workflows, and automation. Preferred Smartsheet Core Product Certification and/or Smartsheet Solution Architect Certification
  • Hands-on experience with Smartsheet Control Center, Data Shuttle, Dynamic View, and DataMesh.
  • Minimum 3 years of experience designing, and supporting Smartsheet solutions in a project-driven environment. Preferred experience in supporting retail or restaurant development, construction, real estate or franchise operations.
  • Preferred Bachelor’s degree in business, Information Systems, Project Management, Construction Management, or a related field.
  • Experience managing large datasets, reporting structures, and business processes. Preferred knowledge of system integrations, APIs, and data management best practices.
  • Exceptional problem-solving and troubleshooting skills.
  • Strong written and verbal communication skills with the ability to engage effectively with technical and non-technical stakeholders.
  • Ability to manage multiple priorities and projects simultaneously in a fast-paced environment.
  • Strong organizational skills with keen attention to detail and data accuracy.
  • Advanced proficiency in Microsoft Office Suite
  • Preferred experience with SharePoint, Power BI, ERP systems, franchise management software, or other business intelligence platforms.
  • Preferred experience with franchise systems and multi-location development programs.
