POSITION OVERVIEW
The 3PL Fulfillment Analyst owns the day-to-day execution of third-party logistics operations and the order-to-delivery lifecycle for retail and warehouse distributor customers. This experienced individual contributor is the central coordination point among 3PL partners, Sales, Customer Service, Logistics, Planning, Finance, Transportation, and external customers. The role executes and monitors SAP S/4HANA and EDI transactions, maintains inventory and master data accuracy across 3PL locations, and provides timely visibility into order status, shortages, discrepancies, and service risks. Working independently, the Analyst determines the corrective action for order and inventory exceptions, decides the resolution of customer and partner disputes, evaluates and disputes 3PL invoice charges, and authorizes inventory adjustments within established approval thresholds, escalating those that exceed them.

KEY RESPONSIBILITIES
- Evaluate and resolve transaction and fulfillment exceptions across SAP, EDI, and 3PL order data, identifying the root cause among several possible causes and determining the corrective action appropriate to the customer and circumstances involved.
- Resolve disputes involving shortages, damages, OS&D, and service complaints — determining the appropriate resolution, credit, replacement, adjustment, or escalation — directly with retailers, warehouse distributors, Accounting, internal account managers, and 3PL partners.
- Process and validate routine SAP and EDI transactions, including order intake, unit-of-measure conversions, receipts, picks, shipments, and transfers.
- Investigate and reconcile inventory variances — isolating affected SKUs and locations, determining root cause, and authorizing adjustments within established approval thresholds while escalating those beyond them.
- Monitor inventory across 3PL locations against levels established by Demand and Supply Planning; identify out-of-stock, at-risk, aging, excess, and short-dated inventory and escalate replenishment risk for action.
- Evaluate 3PL invoice charges against contract terms and service performance data, exercising independent authority to approve, contest, or negotiate resolution.
- Track orders from Community Coffee distribution centers through delivery, communicating confirmations, substitutions, shipment status, tracking information, and expected delivery dates, and surfacing delivery risk before it affects customer service.
- Maintain master data accuracy across 3PL partners, including SKUs, lead times, pricing, product attributes, and new product setup.
- Coordinate cycle counts, physical inventories, returns, credits, quarantined inventory, and product disposition with 3PL partners, Customer Service, Logistics, Transportation, and Finance.
- Prepare and analyze reporting on inventory accuracy, fill rates, backorders, order exceptions, aging inventory, service performance, and 3PL activity — including actual-versus-forecast order comparisons for Supply Chain and National Account Sales — and use it to identify recurring issues, recommend corrective and preventive actions, and maintain the documentation and reconciliation records required for audits and partner reviews.
Required
POSITION REQUIREMENTS
- Bachelor’s degree in Supply Chain, Logistics, Business, Operations, or a related field with three or more years of experience in order management, 3PL operations, inventory control, or distribution; or high school diploma or equivalent with five or more years of that experience.
- Experience executing and reconciling transactions in SAP S/4HANA or a comparable ERP.
- Experience monitoring, investigating, and resolving EDI transactions in a supply chain, distribution, or customer fulfillment environment.
- Experience resolving customer order exceptions — shortages, damages, OS&D, returns, and credits — directly with external customers or partners.
- Experience performing inventory reconciliation, including variance research and root-cause analysis.
- Advanced Microsoft Excel skills, including pivot tables, lookup functions (VLOOKUP/XLOOKUP), and formula-based reconciliation of large data sets.
- Demonstrated judgment sufficient to approve invoices and authorize inventory adjustments within defined authority limits.
- Written and verbal communication skills sufficient to work directly with external customers, 3PL partners, and cross-functional stakeholders.
- Internal Only: Experience with Community Coffee, even if unrelated, may fulfill this requirement at the discretion of the hiring manager with approval from Human Resources.
- Consumer packaged goods, food and beverage, or retail distribution experience.
- Working knowledge of retailer and distributor service requirements and metrics, including MABD, OTIF, chargebacks, and order compliance.
- Experience with cycle counting, physical inventory, aging analysis, product rotation, and short-dated inventory management.
- Experience auditing 3PL or logistics invoices and resolving billing discrepancies.
- Power BI, Power Query, or comparable business intelligence and data preparation experience.
