Position Overview: The Equipment Service & Facilities Manager is responsible for leading and developing Caffe Vita’s equipment service and facilities operations across all markets with a focus on food safety, efficiency, and following general best practices. They work with all teams to prioritize, schedule, implement and track projects as needed to support the success of the business. Our ESF Manager evaluates short-term and long-term needs to provide recommendations and structure around our thinking on equipment, service and facilities.

Responsibilities:Equipment Service

  • Lead and manage Caffe Vita’s national equipment service operations.
  • Develop, maintain and improve service standards, procedures and communication.
  • Manage daily priorities and marshal resources to ensure critical equipment issues are addressed appropriately and in a timely manner.
  • Partner with Sales and Customer Service to support client needs including equipment installations, repairs, preventative maintenance and equipment moves.
  • Manage data systems related to scheduling, record keeping, inventorying and billing.
  • Manage relationships with vendors.

Facilities Management

  • Ensure proper maintenance and operation of Caffe Vita facilities in accordance with all regulations and best practices.
  • Develop and schedule preventative maintenance programs for building systems, infrastructure, and equipment.
  • Coordinate facilities repairs, improvements, construction projects, and building maintenance.
  • Manage relationships with facilityrelated vendors.
  • Keep stellar records of facility systems, maintenance schedules, inspections, permits, warranties, costs and service history.
  • Identify facility risks and develop plans to address safety, reliability, and operational concerns.
  • Work with leadership to prioritize projects based on urgency and budgets.
  • Ensure work is performed safely and in accordance with applicable company/local/state/federal policies and procedures.
  • Foster a culture of safety, accountability, open communication, quality, and continuous improvement.
  • Create a welcoming and inclusive workplace environment for all customers, employees, and partners.
  • Perform other duties as needed to support Caffe Vita operations.

Qualifications

  • 5+ years of experience in commercial coffee equipment service, facilities maintenance, or a related field.
  • Prior experience managing technicians, facilities teams, contractors, or service departments preferred.
  • Strong understanding of commercial espresso machines, grinders, water systems, refrigeration, brewing equipment, and related café equipment.
  • Working knowledge of building systems including HVAC, plumbing, electrical, roofing, and general facility maintenance.
  • Ability to troubleshoot mechanical, electrical, plumbing, and equipmentrelated issues.
  • Experience developing preventative maintenance programs and service procedures.
  • Experience managing contractors, vendors, facility projects, and multiple locations.
  • Strong organizational skills with the ability to manage multiple priorities, locations, technicians, projects, and service requests.
  • Excellent written and verbal communication skills.
  • Ability to communicate effectively with technicians, employees, customers, vendors, contractors, and company leadership.
  • Analytical aptitude with a logical and methodical approach to problemsolving.
  • Ability to give and receive constructive feedback and effectively coach team members.
  • Ability to quickly learn new systems and software; experience with Microsoft 365 and service management platforms preferred.
  • Strong time management skills and flexibility to respond to urgent equipment or facility needs.
  • Must be approachable, mindful, positive, and customer focused.
  • Ability to travel between Caffe Vita locations and customer sites as needed.
  • Ability to work occasional evenings, weekends, overtime, holidays or respond to urgent service situations as business needs require.
  • Ability to perform physical activities including walking, standing, bending, reaching, kneeling, climbing, lifting, pushing, pulling, and working around commercial coffee equipment and building systems
